Why a plain file still works

A good template separates facts from ideas

A travel plan usually fails in the gaps between attractive suggestions. A museum appears in the wrong neighbourhood. A “two-hour” train uses most of the day once check-out and check-in are counted. A restaurant idea is mistaken for a reservation. A family schedule assumes that everybody can stay out for twelve hours.

These templates use status, location, transfer, buffer and backup fields because those are the details that reveal a weak itinerary. They are intentionally ordinary files. You can inspect them, move them between tools, print them, store an offline copy and remove anything you do not need.

The examples are prompts, not recommendations. Replace every row with your own trip and verify anything current with the venue, transport provider, accommodation, employer or relevant authority.

Use it well

Build the itinerary in four passes

Trying to complete every cell at once encourages guesses. Work from the facts that can break the trip, then add the enjoyable parts around them.

    Lock the immovable facts

    Enter dates, sleeping locations, booked transport, timed tickets, meetings, accessibility needs and the last responsible cancellation time. Copy names and time zones from confirmations rather than memory.

  2. 02

    Calculate the whole transfer

    Include packing, check-out, station or airport travel, waiting, security, baggage, onward transport and check-in. The timetable duration is only one part of a travel day.

  3. 03

    Group flexible plans by area

    Choose one main purpose for each half-day and add nearby options. A shorter route with room for a good lunch usually works better than crossing a city to collect famous names.

  4. 04

    Add the failure version

    Write down what happens if it rains, somebody needs rest, a venue closes or a connection is missed. A backup is useful only when it is close enough and simple enough to use under pressure.

Keep these outside the shared template

  • Confidential client names, meeting topics or internal access instructions.
  • Anything your employer or travel policy prohibits from personal cloud storage.
  • A single copy of emergency contacts or confirmation details with no offline backup.

Use neutral labels in a shared itinerary and keep sensitive records in the approved secure system. A convenient spreadsheet should not become a directory of everything needed to impersonate the traveller.

Pace, mobility, age, food, rest and access requirements are reflected in the shape of the day.

What happens if it fails?

The important booking or commitment has a realistic recovery option and the responsible contact is available.

Turn “museum in the afternoon” into a usable row

A vague idea is fine during research. Before the trip, the row should make the remaining work visible. The goal is not to add administrative detail for its own sake. It is to stop an unconfirmed suggestion borrowing the appearance of a booking.

Tuesday afternoon: visit the main museum

This does not say which branch, whether Tuesday is an opening day, whether entry is timed, how long the journey takes, what it costs, or what the group should do if tickets are unavailable.

Ready to verify

Tuesday, 14:00-16:30: City Museum, Riverside branch

Status: shortlisted. Twenty-five minutes from lunch by tram, plus a fifteen-minute buffer. Check the museum's own site for Tuesday opening and timed entry. Budget estimate: GBP 25 per adult. Backup: the public gallery two streets away, which also needs an opening-hours check.

Once the ticket is purchased, change the status to booked, add the official confirmation reference and keep the cancellation terms where the traveller can find them. Do not paste payment-card information into the sheet. The template should show what to do, not become a second wallet or identity store.

Adapt, do not decorate

Which columns should you keep?

Delete fields that nobody will maintain, but be cautious about removing the columns that expose uncertainty. The useful version is the one somebody will update after a booking changes.

Keep status and source

Use a short vocabulary such as idea, shortlisted, booked and confirmed. “Booked” means a transaction exists; “confirmed” means the relevant detail has been checked against the current provider record. A source link or confirmation reference lets another traveller repeat that check.

Keep travel and buffer separate

Travel time describes the expected movement. Buffer protects the next commitment from normal uncertainty. Combining them makes it hard to see whether a plan contains genuine spare time or whether every minute has already been assigned to a perfect journey.

Remove private detail

A shared family version may need dietary and access notes. A shared work version usually does not need customer names or the purpose of a confidential meeting. Use the minimum detail required for the people reading that copy to carry out the plan.

After the first booking, stop regenerating everything

When a hotel, train or attraction becomes fixed, revise around that fact. Asking an AI tool to rewrite the entire trip can quietly move an established time, replace a venue or restore an activity you deliberately removed. Give it the changed row, the protected facts and the exact decision you need. Then compare the revision with the previous version before accepting it.

Keep a dated final copy shortly before departure. Current conditions can still change, but a stable operating version is easier to check than five slightly different chat answers, two spreadsheets and a screenshot whose owner nobody remembers.

Which program opens the CSV templates?

CSV files open in Google Sheets, Microsoft Excel, Apple Numbers, LibreOffice and many mobile spreadsheet apps. Import the file using UTF-8 if your spreadsheet asks for an encoding. The blank Markdown file opens in any text editor and can be pasted into a notes app or document.

Can AI fill in one of these templates?

Yes. Give an AI planner the column names, your fixed facts and the output format. Treat the response as a draft. Check bookings, opening hours, transport, costs, entry requirements and safety information with the responsible official source before relying on it.

Is a template better than an itinerary app?

A template is better when you want a portable, inspectable plan that works across tools. An app is better when you want map interaction, quick regeneration, saved trips or richer place information. Many travellers use an app to make the first draft and a spreadsheet for the final operating copy.
